We are seeking a detail-oriented and highly organized Financial Administrative Assistant to support the financial and administrative operations of our Security Division. This role requires strong analytical skills, proficiency in financial reporting, and the ability to manage multiple priorities with accuracy and efficiency. The ideal candidate will have experience with billing, financial analysis, administrative support, and working with union-related processes.
Key Responsibilities:
- Weekly Security Billing:
Generate, review, and submit accurate weekly invoices for security services rendered, ensuring timely delivery to clients. - Monthly Security P&L Analysis:
Assist in preparing and analyzing monthly profit and loss reports for the Security Division to help track financial performance and identify areas of improvement. - Security RFP Submissions:
Coordinate and submit Request for Proposal (RFP) packages for new security contracts, ensuring all documentation is accurate, complete, and delivered on time. - Administrative Support:
Provide day-to-day administrative assistance to the Security and Finance teams, including scheduling meetings, preparing reports, handling correspondence, and maintaining records. - Union Benefits Management:
Calculate and process monthly payments for security union benefits, ensuring compliance with union agreements and deadlines.
Qualifications:
- Associate’s or Bachelor’s degree in Finance, Business Administration, or related field preferred
- 2+ years of experience in an administrative, finance, or billing role (preferably within security or service industries)
- Strong Excel and financial reporting skills
- Excellent organizational and time-management abilities
- Strong attention to detail and confidentiality
- Experience with union-related billing or benefits is a plus
Salary: $60,000-$65,000
Schedule: M- F 8:30 AM - 5:30 PM
