Job Skills / Requirements

The Administrative Assistant is responsible for the day to day administrative support of the Operations department.

Key Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office.
  • Notify office staff of guest arrivals.
  • Maintain office security by following safety procedures and controlling access via controlled entry door.
  • Assist applicants with access to the company’s online application portal.
  • Perform other clerical duties such as filing and photocopying.
  • Monitor office, conference room, and copier supplies.
  • Handle confidential information in a professional and discreet manner.
  • Additional administrative duties as required

Essential Skills and Experience:

  • Excellent written and oral communication skills. Incumbent will work directly with employees, managers, executives, vendors, and customers.
  • Must possess a high level of attention to detail.
  • Prioritize and plan work activities; Use time efficiently.
  • Ability to identify and resolve problems in a timely manner; Use reason even when dealing with emotional topics.
  • Ability to take initiative, maintain a positive attitude, be self-motivated and work effectively on projects with minimal direct supervision. Ability to work independently and set own priorities.
  • Ability to resolve issues while maintaining a good working relationship with internal and external customers.
  • Adapt to changes in the work environment; Manage competing demands; Change approach or method to best fit the situation; Able to deal with frequent change, delays, or unexpected events.
  • Willingness and ability to work on both individual and team projects.
  • Computer productivity software knowledge – Microsoft Office and database applications
